Job Title: Administrative Assistant

Location: Houston, TX 77054 (Near NRG Stadium)

We seek a detail-oriented, organized, and professional Administrative Assistant to join our team. The ideal candidate will be proactive, adaptable, and able to manage multiple tasks efficiently. Job Description:The Administrative Assistant will provide essential support to our team by performing a variety of administrative tasks, ensuring smooth office operations, and helping maintain organizational efficiency. This role requires strong communication skills, excellent attention to detail, and the ability to manage competing priorities. In season Hours are Monday-Thursday 9am-4pm, Friday 9am-12pm. Occasional Saturdays may be needed. After season, the office is closed on Fridays. Position is available to fill immediately.

Key Responsibilities:

  • General Administrative Support: Answer phone calls, manage emails, and respond to inquiries in a professional manner.
  • Customer Support: Provide assistance to clients or customers, addressing inquiries, and ensuring timely follow-up.
  • Scheduling & Calendar Management: Coordinate and schedule meetings, appointments, etc.
  • Document Preparation & Filing: Draft, proofread, and organize documents, reports, and correspondence. Maintain an efficient filing system.
  • Office Supply Management: Monitor and maintain office supplies, placing orders as necessary.
  • Data Entry & Record Keeping: Maintain accurate records, update databases, and input information as needed.
  • Meeting & Event Coordination: Assist in organizing team meetings, events, or conferences, including logistics and materials preparation.
  • Collaboration: Work closely with team members and management to assist with various projects and tasks as needed.

Qualifications:

  • High school diploma or equivalent;
  • Proven experience as an administrative assistant or in a similar role, experience in office administration or related field is a plus.
  • Bilingual preferred, English and Spanish.
  • Strong organizational and time management skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and problem-solving skills.
  • Experience with tax preparation or accounting is a plus, but not required.
  • Positive attitude and ability to work independently or as part of a team.
