We are looking for a Team assistant / Project Coordinator Immunology NL who is agile with an enthusiastic and patient centric mindset to come join our Immunology Team NL (Alps, Benelux & Nordic) Team, to be based in Breda, The Netherlands.

About the role

As our Team assistant/ Project Coordinator Immunology NL, you will have a broad and variable role. You will be a key point of contact for the iPVU team and will provide daily support to the team. The assistant has an important as team backbone and acts as a dedicated team player towards the Brand and Infield teams of the Immunology team (Rheumatology, Dermatology and Bone). You will be responsible for organizing, driving, and following up on administrative tasks and supporting medical & marketing projects.


Who you will work with:

Reporting to the Immunology Benelux you will be in contact with several internal & external stakeholders including the medical and commercial immunology team, other cross functional teams, and HCPs.


We are looking for an enthusiastic team member who is a problem-solver, proactive communicator, accurate and takes responsibility. This role can be filled with a 32hrs or 40 hrs work week

What will you do:

  • Support the local teams in organizing external and internal meetings and ensuring internal processes excellence (ANFs, e-request, ORBIT).
  • Ensuring timely and accurate external compliance (act as first point of contact for rules & regulations, informing authorities), contracts, coordination, invitations and always in close collaboration with the team.
  • Ensure efficient daily first line support to all internal stakeholders from administrative perspective
  • Coordinate and attend project update meetings followed by minutes and reporting, so you are well informed and better able to pick up project related tasks
  • Support Brand team in the execution of projects by creating suppliers, Purchase Orders (Guided Buying), invoice processing and SOP/audit compliant storage of all relevant data
  • Support Infield team (i.e., organize medical events like advisory boards, expert tables, stock management of material)
  • Organizing team events and meetings (at home and abroad);
  • Support the organization regarding refresher courses.
  • Book hotel and travel according to guidelines for external guests
  • In summary, assistants act like project managers and are key in guiding the country teams and ensuring seamless event execution towards patient value creation.

Interested? For this position you will need the following education, experience, and skills:

  • Education for example in Business administration, MBO+/HBO working and thinking level;
  • Dedicated team player with positive, flexible mindset
  • Ability to manage and work in a complex and matrix driven organization
  • Commercial education or equivalent with experience in a similar position, in pharmaceutical industry preferred
  • Excellent organizational skills related to event & project management, setting priorities and respecting timelines.
  • Strong communication skills in a multi-cultural environment, fluent in Dutch and English
  • Customer oriented, service minded and helpful
  • Good computer skills/MS Office (PowerPoint, Excel, Outlook), SRM, SAP, Orbit (Veeva), SourceClear.
  • Languages: Dutch, fluent in English (both written and verbally)
  • Familiar with working in line with the CGR code and Transparency reporting
