Context of the role

Together with 5 colleagues, you form the Community & events team, which is part of bigger PMO Means & Methods - Community & Learning Team (about 12 people). The main focus of the team is to stimulate learning cross ASML through organizing and facilitating shared learning and Community activities & interventions for a specific group of employees (CoP). These CoP range from 300-5000 people within both D&E (Group Lead, Department Manager and First Line Leaders Community) and across ASML (Project Management Community & Tech Conference 6000 visitors). The focus and agenda of these communities is determined with the help of a group of representatives of the full community populations; the so-called reference board, who are important stakeholders.

Sparked by the rapid growth of ASML, the pull from our customers for creating & supporting CoPs, in which like-minded professionals can exchange knowledge and experience, is growing fast as it is seen as a very successful method to boost (practical) learning. To be able to support the growing numbers of Communities we need to standardize and optimize how we work; the ideal moment for a fresh pair of eyes to join and help the team to standardize & expand.

Role & Responsibilities

As Community Improvement Officer & Planner you are responsible for professionalizing our offerings to the different Communities and events we support. Next to that you will support the design and execution of our Community events.

Current Improvement Projects/Assignments :

  • Design, test and deploy an integral (registration) process and tool to be used for all of our events: you will act as a PL and are responsible for managing the triple constraint to design, set up and deploy a compliant registration process and tool with to be selected external suppliers. This process and tooling allows us to at least have two-way communication with participants (e.g. personal information or workshop registration) and automated selection (e.g. based on required criteria or in case of a maximum audience).

Responsibilities/Activities:

  • Maintaining a relevant network of stakeholders within the different communities we support/manage
  • Acting as Project Lead on overall process improvements as mentioned above
  • Be part of a Workstream of the Tech Conference program (scope t.b.d.) and Workstream Lead registration
  • Supporting our Community Leads throughout the year in setting the Community Agenda and the design and set-up of the events
  • Supporting the execution of the events of the different Communities we support (e.g. helping out at PM-day and Tech Conference)
  • Structuring and maintaining our information sources, like sharepoint sites, teams environments, etc.
  • Working on improvement projects within the bigger PMO M&M C&L team

Education and experience

  • The candidate will have a Bachelor or Academic working and thinking level.
  • 3+ years of corporate business experience and experience in Community Building or Competence Networks
  • 1-2 years of experience in Project Management (able to manage triple constraint. IPMA, PMI or Prince 2 certification is valued)
  • 3+ years of experience in maintaining and setting up Digital sharing platforms (sharepoint e.d.)
  • 1-2 years of experience in process mapping and process improvement

  • Communication skills: understanding the different stakeholder groups we manage and the ‘language’ they speak. Being able to both verbally and in writing express yourself in a manner that speaks to your ‘audience’
  • (self) Reflection: if we want to learn and grow as an organization we also need to do that as individuals. Reflection is key; what do we need to develop and why?
  • Basic ‘digital’ skills: MS Office, Teams, document management, SharePoint, etc.
  • Fluent in English
