Job Title:

Facilities Admin- Contractual

Function:

Under general direction plans, organizes day to day Facilities services

Reports to:

Facilities Manager- EMEA

Immediate level of subordinates:

None

Objectives of the job:

  • To ensure Facilities support to internal and external customers in designated areas of responsiility
  • To ensure Facilities support to customers as per Service Level Agreements (SLA)
  • To ensure increased customer satisfaction.

Principal duties and responsibilities:

  • To ensure reception (Visitor management, switchboard services, Meeting rooms)
  • To ensure all meeting rooms are setup in the morning
  • To ensure facilities services like House Keeping, Maintenance, Access systems. Have to do a floor walk every day to check standards.
  • Provide SLA based services through AHD system. Monitor tickets, resolve the issue and close tickets on AHD system within the stipulated SLA.
  • Issuance/ registration of ID cards shipped by the UK for new employees and resolving access card issues with corporate team
  • Liaison with building maintenance team for issues such as air conditioning, lightning, power, elevator etc.
  • Liaison with building Security & Reception for deliveries at loading bay
  • Monitor and order office supplies including stationery, flowers, office equipment etc.
  • Support IT manager in laptop or other shipments by DHL, ordering material
  • Flexible to accept the ad hoc requests such as help with shifting goods, translation, etc. occasionally
  • Yearly asset verification and labelling
  • Having periodic floor walk with cleaning and M&E contractors and fixing the issues.
  • Arrange catering and assist HR with office events and management & VIP visits
  • To adopt and implement environment friendly practices and ensure conservation of natural resources and proper waste disposal.
  • Flexible to accept the ad hoc requests such as help with shifting goods, translation, etc. occasionally
  • Process incoming mail
  • Scanning & sending incoming FAC invoices to payments team, including translations
  • Request vendors for Purchase Orders/ set up quotations for internal use/ contact person for vendors (mediate in invoice issues)
  • Attendance during critical equipment failure occasionally or burglary alarm on after office hours or weekends
  • Flexible to accept the ad hoc requests such as help with shifting goods, translation, etc. occasionally
  • Participate in annual WTC meeting for tenants and prepare minutes
  • Participate in First Aid meetings and yearly evacuation organized by WTC
  • Coordinating Health & Safety training and performing role of DRR
  • To perform the role of fire warden and first Aid

Requirements:

  • Excellent communication skills (listening, oral, written) in both English and Dutch
  • At least 5 years of experience in office management or facilities
  • Strong organizational skills (as in structure) and discipline
  • Experience in processing invoices
  • Proactive approach
  • Ability to anticipate issues, find solutions, troubleshoot and problem-solve
  • Can do and helpful attitude
  • Good knowledge of Microsoft especially calendar
